A Request for Proposal: This is a tender document you send to potential suppliers for your event.
It will help you not to forget any detail and will also greatly help suppliers to answer as precisely and accurately as possible all your requests.

In the section nº 10 "Coordination" you select suppliers you want to send your request to.

You can select up to 10 suppliers in order to receive quotes and be able to compare offers. We strongly advise you to select your potential suppliers carefully before sending the RFP and not to send it to every name "just in case" in order to get as many proposals as possible. Suppliers such as DMCs, Convention Bureaux, Hotels, and Congress Centres are normally in touch with each other and are not very receptive towards companies who attempt to create competition among suppliers.

ABCevents suppliers are entitled to answer all requests within 48 hours if you have filled in the RFP correctly.

You should give them around a week and half to send you a complete proposal with an economic offer detailing costs.

Suppliers normally receive a substantial numbers of inquiries, and hotels, for example, are used to receiving different enquiries for the same event.

Imagine your company were to request a quote for a conference from 3 hotels in one area, 3 D.M.C.s, a Convention Bureau and Congress Centre. With such a scenario, a hotel might receive up to 6 requests for the same event.

This happens because on the one hand companies want to cut costs and get the best quotes by putting suppliers in competition with each other and on the other hand because companies know that most suppliers answer late or not at all.

In order to receive a rapid response from suppliers:

  • Use ABCevents.com suppliers as they will provide a response to R.F.P.s within 48 hours.
  • Send your request twice by email and another copy by fax.
  • Do not forget to put a decision date or deadline on your request.
  • Call the venue or agency and insist on getting a quick answer.
  • Remind them that their competitors may also receive an R.F.P.
  • Be insistent!
